Let’s be honest: no one got into the vocational training industry because they love software.

You got in because you wanted to help people get job-ready, teach real-world skills, and maybe grow a solid vocational training business along the way.

But at some point, someone probably said: “You really need a student management system” or  “We’re overdue for an LMS upgrade.”

And suddenly, you’re knee-deep in sales demos, integrations, acronyms, and dashboards that look like an airport cockpit.

So, before you sign that contract for your next training management tool, consider the next few items.

Are You Choosing the Right System for the Right Problem?

Let’s break this down:

The 3 Most Common Mistakes RTOs Make with Student Training Systems

1. Buying More Than You Need

If your team is under 10 people and you’re running short courses like White Card, Working at Heights, or EWP, you probably don’t need enterprise-level software that was built for a university.

2. Not Testing Real-World Scenarios

RTOs often test systems like it’s a school project, when they should test like it’s a peak enrolment week and their admin just called in sick.

Ask vendors:

3. Falling for Shiny Features

Do you really need gamification and an AI chatbot, or do you just want a system that doesn’t crash when uploading a PDF?

Your LMS or SMS should play nicely with:

  • AVETMISS reporting
  • USI validation
  • Your existing website/enrolment form
  • Xero or MYOB
  • And ideally… each other (SMS ↔ LMS)

Ask: “Can this system integrate with our current stack without hiring a developer?”

Because if it can’t, you’re just replacing one bottleneck with another.

A Smarter Way to Evaluate: “The 10-Minute Rule”

Here’s a simple internal test we recommend to RTOs:

Give your admin staff, a trainer, and your accountant each 10 minutes alone with the trial system.

Then ask them: “What did you think you were supposed to do, and what actually happened?”

The results will be… enlightening. And possibly hilarious!

What Do RTOs Actually Want From Their Systems?

After talking to with many RTOs, here’s what comes up time and time again:

  • “I just want less double handling”
  • “I want trainers to stop texting me for student info”
  • “I don’t use half the system”
  • “I want enrolments to run while I sleep”
  • “I want something my 55-year-old assessor can use without swearing”

That’s your checklist. Forget the sales buzzwords.

Look sideways. Talk to RTOs of similar size. Join LinkedIn groups. Ask what’s working and what they’d never use again.
